All About Clubs

Clubs let you track membership, schedule meetings, and take attendance for extracurriculars the same way you already do for classes. This guide covers everything on the Club Dashboard.

Only an Admin can access the "Club Dashboard." All other functions can be carried out by users with Staff level.

Clubs let you track membership, schedule meetings, and take attendance for extracurriculars the same way you already do for classes. This guide covers everything on the Club Dashboard.


Who this is for: Staff and admins. You'll find Clubs under the main Dashboard.


1. Open the Club Dashboard

From the top navigation, click Dashboard, then the Club Report button. This opens the Club Dashboard which is a list of every club at your school.

Each row shows the club's name, school, meeting count, average attendance, total hours, roster size, and advisor emails. The Actions column has Manage Advisors, View Club (→), and Delete (🗑). Use + New Club to add one and Export to download a spreadsheet of all clubs. Click a column header to sort.

Heads up: The Delete (🗑) action permanently removes a club and its data. This can't be undone.


2. Create a new club

  1. Click + New Club.

  2. Enter the Club name.

  3. Enter at least one Advisor email and click the blue +.

  4. Click Create.

Note: A club needs both a name and at least one advisor email — if either is missing you'll see an error asking you to complete them.


3. Add or manage advisors

Click the Manage Advisors icon in the Actions column (or the pencil next to the advisor email).

  1. Type an email in Enter advisor email and click Add.

  2. To remove an advisor, click the red minus next to their email.

  3. Click Save.

What advisors can do: Advisors get access to the Clubs page so they can build and manage their own club's roster.


4. Open a club and view its meetings

Admins can click the View Club (→) arrow on any row. Staff can click the club details from their roster.

Clubs appear in the same place as your classes. On the main attendance / Kiosk screen, open the class/period dropdown — your clubs are listed below your classes.

On the club's page you can see every meeting's date, duration and attendee count, click Edit on a meeting to adjust attendance, Export to Excel, or use Add meeting and Edit Roster. Switch clubs with the club-name dropdown at the top.

5. Edit the club roster

On a club's page, click Edit Roster.

  • Add a student: type a name in the search box, then click the green Add.

  • Remove a student: click the red Remove next to their name.

Tip: Rosters can also build themselves. If a student taps in at the club's location during its meeting time, they're automatically added to the club's roster.


6. Schedule a meeting

On a club's page, click Add meeting. You'll get two options:

  • Manually add from past — log a meeting that already happened (useful for backfilling records).

  • Schedule future meeting — set up an upcoming meeting.

Scheduling a future meeting

The Add Event form lets you set the title and event type (Club Meeting), select the club, and set the start time, duration, and room. You can also set Coins — an optional reward that gives students points for participating, which they can spend in the Tap Store (leave at 0 to skip) — and confirm the roster. Click Create.

Recurring meetings

Open the Repeat dropdown and choose Daily, Weekly, Every 2 weeks, Monthly, or Every weekday (Mon-Fri), pick the dates, then click Create All Events to add the whole series at once.

7. Take attendance at a club meeting

Select your club. If there's no meeting scheduled for today, tap Create for Today. As students tap in, they move to Checked In; anyone who hasn't tapped stays under Not Checked In. Click Save to record attendance.

8. Export club data

  • Export (top of the Club Dashboard) downloads a spreadsheet covering all clubs.

  • Export to Excel (on a single club's page) downloads that club's meetings, attendance, and hours.


Frequently asked questions

Who can create and manage clubs?

Staff and admins can create clubs and manage any of them from the Club Dashboard. Advisors you add to a club get access to the Clubs page so they can build and manage their own club's roster.

Do I have to add every student to the roster manually?

No. You can add students by searching for them in Edit Roster, but rosters also build themselves: if a student taps in at the club's location during its meeting time, they're automatically added to the club's roster.

Can a club have more than one advisor?

Yes. Use Manage Advisors to add as many advisor emails as you need, and remove any with the red minus icon.

What do the "Coins" on a meeting do?

Coins are optional. They award students points for participating that they can spend in the Tap Store. Leave the field at 0 if you don't want to give points for that meeting.

Can I schedule a whole series of meetings at once?

Yes. When scheduling a future meeting, open the Repeat dropdown and choose Daily, Weekly, Every 2 weeks, Monthly, or Every weekday (Mon-Fri), pick the dates, and click Create All Events.

How do I take attendance for a club?

Clubs appear in the same class/period dropdown you use for classes. Select your club, and as students tap in, they move to Checked In (anyone who hasn't tapped stays under Not Checked In). Click Save to record it.

There's no meeting showing for today. What do I do?

If there's no meeting scheduled for today, tap Create for Today on the club's attendance screen to start one.

Can I record a meeting that already happened?

Yes. On the club's page, click Add meeting and choose Manually add from past to backfill a meeting and its attendance.

What do "Avg Attend" and "Hours" mean on the dashboard?

Avg Attend is the average number of attendees per meeting, and Hours is the total number of hours the club has met.

Can I export club data?

Yes. Use Export at the top of the Club Dashboard for a spreadsheet of all clubs, or Export to Excel on a single club's page for that club's meetings, attendance, and hours.

What happens if I delete a club?

Deleting a club (the trash icon in the Actions column) permanently removes the club and its data. This can't be undone.
