How to Assign a Temporary or Unknown ID

Learn how to assign, activate, deactivate, and troubleshoot MOOV ID cards, including temporary IDs, unknown cards, and assignment mistakes using kiosks and handheld devices.

Students may occasionally forget their ID. MOOV includes a built-in Temporary ID feature to keep entry moving while maintaining security.

  • Temporary IDs automatically deactivate after 12 hours, so they cannot be reused the next day if a student has lost their permanent ID.


Assigning a Temporary ID

  • First, grab a MOOV Temporary ID card. There are two options to activate a temporary.

Option 1: Handheld Device

  • Select “Reader Mode” on the handheld home screen.

  • Follow the on-screen instructions.

    • Tap the ID on the back of the handheld

    • Type in the student’s name or ID number

    • Select “Assign as Temporary.”

⚠️ Important: Be sure to select Assign as Temporary to avoid deactivating the student’s permanent ID.

Option 2: Kiosk

  • Tap the temporary ID on the kiosk’s MOOV reader

  • Tap the red tile on the screen that says “UNKNOWN ID - TAP TO REGISTER.”

  • Follow the on-screen prompts.

    • Type in the student’s name or ID number

    • Select “Assign as Temporary”

⚠️ Important: Be sure to select Assign as Temporary to avoid deactivating the student’s permanent ID.


What to Do if an ID Is Marked as “Unknown”

  • An ID may appear as “Unknown” for one of the following reasons:

    • The card value we received is incorrect or outdated if using non-MOOV IDs

    • The student has a temporary ID still active (within 12 hours of receiving a temporary)

    • The student is using an older, inactive card

Only one ID can be active per student at a time.

  • Example: A student receives an ID on January 1, loses it, and is printed a replacement on January 2. The January 1 card becomes inactive. If the student later brings the January 1 card to school, it will appear as “Unknown” on the kiosk.

Assigning an Unknown ID

  • If an ID appears as “Unknown”, it can be reassigned at entry, at the cafeteria, or at any time on a kiosk or a handheld:

Option 1: Kiosk

  • Tap the student’s ID on the kiosk’s MOOV reader

  • Tap the red tile on the screen that says “UNKNOWN ID - TAP TO REGISTER.”

  • Follow the on-screen prompts.

    • Type in the student’s name or ID number

    • Select “Assign as Permanent”

⚠️ Important: Be sure to select Assign as Permanent to avoid the student’s ID from deactivating again.

Option 2: Handheld Device

  • Select “Reader Mode” on the handheld home screen.

  • Follow the on-screen instructions.

    • Tap the ID on the back of the handheld

    • Type in the student’s name or ID number

    • Select “Assign as Permanent”

⚠️ Important: Be sure to select Assign as Permanent to avoid the student’s ID from deactivating again.

Verifying the Most Recent ID

  • You can confirm a student is using their most recent ID by:

    • Checking the printed date on the physical card

    • Cross-referencing with the “Last Printed” date in the ID-ALL database


Deactivating a Card

  • If an ID was assigned incorrectly (for example, to the wrong student, or as a permanent ID instead of a temporary ID), you can deactivate the card and reassign it.

How to Deactivate a Card

  • On the handheld device, open “Reader Mode” from the home screen.

  • Tap the ID card on the back of the handheld.

  • Tap the “Options” tile at the bottom of the screen.

  • Select “Deactivate.”

  • Once deactivated, the card is ready to be reassigned using the instructions above.
